Admissions Administrative Assistant


Summary- Responsible for providing administrative, clerical, admissions and referral development, and program support by performing the following duties.

Education and Experience- An Associates Degree from a two year college or university; OR a High School Diploma; OR two to four years experience and/or training; OR equivalent combination of education and experience. 

Essential Duties and Responsibilities include the following. Other duties may be assigned. 


  • Maintains current sign-in/sign-out book for each Admissions Intercept vehicle. 
  • Types reports and correspondence as necessary for program support. 
  • Attends and records weekly team meetings and maintains binder (by year) of agendas/notes. 
  • Maintains inventory of commonly used office supplies and notifies Director of Admissions of needs on a weekly basis


  • Establishes file on prospective resident and distributes pertinent information to Director of Admissions and Admissions Coordinators
  • Generates acceptance/denial/withdrawal letters on perspective residents as appropriate for signature of Regional Program Manager and mails to referral source, maintaining a file copy
  • Performs administrative functions related to resident application and admissions process, including but not limited to, obtaining required signatures and admissions documents 
  • Establishes interview packets, resident charts, including preparation of forms and placement in chart order and educates staff on same.

Clinical Records:

  • Familiarizes self with DMHMRSAS Interdepartmental licensure standards as well as any governmental regulatory requirements applicable to clinical records and reports on Intercept's compliance 
  • Review resident charts quarterly for regulatory compliance as well as compliance with Intercept standards. Each resident chart will be reviewed a minimum of once quarterly, and a report will be given to the Director of Admissions for follow-up. 
  • Periodically any other duty which may be requested but not included herin


  • Retrieve and sort mail from Intercept mailbox (on-site)
  • Answer phones, transferring calls and/or taking accurate messages as needed
  • Assist clientele and colleagues as able and appropriate
  • Maintain confidentiality of all resident information, program information, and financial information
  • Maintains files and establishes new files as needed
  • Performs any other duty which may be requested but not included herein
